General Statement of Job Seasonal Production/Position The Stage Manager of Vienna Youth Players would support and organize the production of a musical every summer for teens ages 10-18. The stage manager is responsible for collaborating with the other staff and students to turn the director's vision of the production into a reality. The stage manager is responsible for scheduling rehearsals, organizing conflict schedules, tracking who knows and missed what material, coordinating between the various crews such as set, costume, props, lighting, sound, make-up, hair, music, publicity and choreography, monitoring the safety of students, creating a cue sheet for set and prop movement, and communicate announcements with the cast and crew. The stage manager will supervise a team of student assistant stage managers, delegating responsibilities and guiding them through the necessary skills to become a proficient stage manager.
The stage manager works under the supervision of the Director of Vienna Youth Players.
Work Hours: The stage manager will be expected to attend:
-Auditions
-2 rehearsals a week for weeks 1 & 2
-3 rehearsals a week for weeks 3 & 4
-5 rehearsals a week for weeks 5, 6, 7 & 8
-All shows (5 performances)
-Design and logistical meetings to be scheduled by the Director.
The stage manager will be expected to spend about 56 hours towards meetings, planning and tech throughout the show's production.
The Director may adjust the division of the hours.
The hours listed below are for rehearsals. The director is responsible for scheduling tech days and planning outside of these rehearsal times. The director may also add additional rehearsal times outside of these hours. Annual work start and end dates will be determined by the director in coordination with the Recreation Program Coordinator II, Events.

2025 Production Dates: July 19, 20, 25, 26.27
All new employees must satisfactorily complete a background check. A conditional offer of employment may then be made contingent upon the successful completion of drug and TB tests. Duties and Responsibilities The functions listed below are those that represent the majority of the time spent working in this position. Ultimately it is the director's responsibility to complete tasks needed to produce the show so additional tasks may be required. Essential Functions: Scheduling - Collect conflict calendars from students and organize them into a single calendar for the director to establish the rehearsal schedule.
- Collaborate with the director on creating the rehearsal schedule.
- Track attendance and communicate with the leadership team of any unexpected absences.
Assist with Auditions - Assist with auditions by welcoming those who are auditioning, collecting paperwork, answering questions, and encouraging a positive environment as students wait in the lobby.
Support Rehearsals - Document notes provided at rehearsals and send to the cast and crew.
- Coordinate with the director, assistant stage managers, and run crew to develop quick and safe transitions between scenes.
- Document transition details and share them with the cast and crew.
- Track end of rehearsal notes and share with the cast and crew.
- Read lines when actors call for them.
- Help set up before each rehearsal and pack up after each rehearsal.
- Quickly address any issues that may occur during rehearsals.
Lead Tech Crews - Communicate with all of the technical crews and ensure that they are supporting the vision of the director.
- Collaborating with each tech crew to create to-do lists and then track and support their progress, sending reminders as necessary.
- Chart out scene changes and post them backstage for all actors and run crew to refer to.
- Document costume changes and prepare crews and cast for quick changes.
- Label all costume pieces and props with their original owner's name before they are sorted into the show's collection.
- Track which schools, organizations, or people lent or donated costume pieces and props.
- Organize the Fairytale Party fundraiser in collaboration with the publicity crew.
- Fundraise if needed through events such as face painting at Chillin' on Church and Independence Day Celebration.
Facilitate Assistant Stage Managers - Guide a team of ASM's to collaborate and communicate positively and effectively.
- Delegate responsibilities among the team, follow up on progress and ensure quality of work.
- Teach the ASM's about the responsibilities and importance of stage management.
Oversee Performances - Ensure all tech crews and actors are prepared for the performance including running or delegating warm-ups, preparing set and prop pieces, and completing any other pre-show logistics.
- Collaborate with the house crew to build an inviting intermission space in which the students and volunteers will sell snacks, collect tickets, and fundraise if applicable.
- Call cues during the performance.
- Quickly address any issues that may occur onstage or backstage.
- Monitor safety backstage and onstage.
Assist with Strike - Ensure that all props, costumes and set pieces are organized and distributed back to their original owners.
- Delegate tasks to the various crews to complete strike in an efficient and timely manner.
- Guarantee the cleanliness of the stage and backstage area post strike.
- If needed, help return items to their original owners.
Create a Safe and Encouraging Environment - Mentor students through emotional challenges.
- Monitor and do what you can to ensure the safety of everyone involved in the production.
- Set expectations with students and staff for code of conduct and care for all props, costumes, tools and technology used for annual production.
- Organize the student cabaret towards the end of the summer for all students to have the opportunity to perform for each other.
Connect with the Community - Help host an interest meeting in the early winter for any students who wish to learn more or encourage others to participate.
- Connect with local theater companies and high schools to borrow set pieces, costumes and props. Organize the return of these items, and cleaning if applicable, after strike.
- Publicize the show via measures like updating the website description at viennava.gov/theatre, sending flyers to local high schools, posting on social media, and posting flyers at local companies.
- Serve as a Town of Vienna/VYP Ambassador with a positive attitude when dealing with the Vienna Community Center staff, parents, students.
Qualifications - Ability to communicate clearly and effectively, orally and in writing.
- Ability to give, understand, and carry out oral and written instructions.
- Ability to provide effective VYP staff, student and volunteer coordination.
- Ability to resolve disputes with firmness and impartiality.
- Ability to operate a personal computer using program applications appropriate to assigned duties.
- Knowledge of first aid practices and techniques.
- Ability to demonstrate professional work habits including reliability, dependability, punctuality, adaptability, creativity, and enthusiasm for the job.
- Ability to fulfill all duties with ethical conduct, individual initiative, creative problem solving, and responsive service.
- Ability to interact professionally and cooperatively and establish and maintain effective working relationships with customers, coworkers, supervisors, participants, the general public, and all those encountered in the course of work
Minimum Training and Experience 1-3 years of experience in stage management with youth theater or comparable discipline.
Special Certifications and Licenses: Must be able to obtain CPR and First Aid certifications. The Town of Vienna will provide training opportunities if needed.
