The City of Oceanside is currently accepting applications for the position of Police Records Supervisor. There is currently one vacancy in the Oceanside Police Department.

Examples of Duties

The Police Records Supervisor coordinates the organization, staffing and operational activities of the Police Records Division, including records management and court liaison services; participates in the development and implementation of goals, objectives, and priorities for police records management activities; identifies resource needs; recommends and implements records management policies and procedures; directs, coordinates and reviews the work of the Police Records Division staff; meets with staff to identify and resolve problems; assigns work activities and projects; monitors work flow; acts as official custodian of criminal justice records for the Police Department; trains police staff and other selected City staff regarding conviction records processes and procedures; takes necessary actions to ensure compliance with court orders; supervises the maintenance of records and files; develops and implements a records management system; and directs the record destruction process and supervises staff; stays abreast of new trends and innovations in the field of police records management; and performs related duties as assigned.

Minimum Qualifications

Knowledge of:
  • Practices and principles of police records management and systems.
  • Principles and methods of supervision, training and performance evaluation.
  • Principles and practices of office automation.
  • Principles of records organization.
  • Records and data management trends.
  • Pertinent federal, state, and local laws, codes, and regulations.

Ability to:
  • Manage and maintain police facilities and equipment.
  • Gather and analyze data.
  • Prepare clear and concise reports.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.

Experience and Training

Experience: Four years of increasingly responsible experience in the maintenance and management of police records.

Training: An Associate's degree or a minimum of 60 college semester units from an accredited college or university. License: Possession of, or ability to obtain, a valid Class C California Driver's License.
Special Requirements: Must successfully complete a medical examination, background investigation, polygraph examination and psychological evaluation.

Working Conditions and Selection Process

Environmental Conditions: Office environment; exposure to computer screens.

Physical Conditions: Essential functions may require maintaining physical condition necessary for sitting and standing for prolonged periods of time; speaking and hearing to exchange information; visual acuity to read and interpret information.


Selection Process: All properly completed applications and supplemental questionnaires will be reviewed and the most appropriately qualified individuals will be invited to continue in the selection process. Failure to provide all required application material will result in disqualification from the selection process. The process may include any combination of a written exam, oral exam, and/or skills assessment to further evaluate job related experience and skills. Candidates who successfully complete the selection process will be placed on an eligibility list and will remain eligible for employment consideration for a minimum of twelve months.

Note: Prospective employees will undergo and must successfully pass a thorough police background investigation which may include a psychological evaluation, CVSA or polygraph examination, and a medical examination which may include a drug screen.

Disability and Life Insurances

Short-Term Disability (STD) Insurance:
  • First 90 days - benefits paid at 55% of weekly salary to a maximum weekly benefit of $700 for non-work related disability only
  • Seven day waiting period unless hospitalized
  • All sick leave must be exhausted before STD is used
Long-Term Disability Insurance:
  • After 90 days - benefits paid at 66.7% of monthly salary to a maximum monthly benefit of $6,000 for any disability
Life and AD&D Insurance:
  • 1 times annual base salary; minimum of $30,000 and maximum of $200,000 of Basic Life & AD&D

Bilingual and Notary Pay

Bilingual: $1.73 per hour for eligible employees

Notary: $.58 per hour for eligible employees

Safety Shoes

The City will provide reimbursement up to $150 towards the purchase price of safety shoes to employees who are required to wear such shoes on the job.

Uniforms

The City will provide an annual uniform allowance, for any public safety employee required to wear one, in the amount of $475.
